MedSpa
Automated follow-up that fills empty chairs
A MedSpa group was losing bookings to slow lead replies and last-minute cancellations. We added an automation layer to their booking system that answers new leads, refills cancelled slots and sends timed reminders.

We kept the booking system and automated the work around it.
The schedule and client records stayed in Boulevard. The new layer handles the follow-up nobody had time for.

The problem
Every cancellation and new enquiry waited for a free pair of hands.
The front desk handled calls, check-ins, reminders and rebooking at the same time. New leads and last-minute cancellations sat untouched until someone had a gap, and by then the lead had often booked elsewhere and the slot stayed empty.

Follow-up depended on free time
Leads and cancellations were only handled when the front desk had a quiet moment.
Booking data was locked in
Availability and client history lived in Boulevard, so any automation had to read and write through its API.
Messages had to stay personal
Clients expected a clinic tone, not a marketing blast, so reminders needed context from the booking itself.
No view of what was missed
There was no single list of which leads, gaps or rebookings still needed action.

What we built
A follow-up layer on top
of the booking system.

MedSpa operations
Lead replies, waitlist backfill and reminders, driven by live booking data.
New enquiries get a reply straight away. When a client cancels, the slot is offered to the waitlist. Reminders are timed to cut no-shows. The front desk sees all of it in one dashboard.

How it works
Engineering decisions
The clinic’s schedule and client records already lived there. The automation reads and writes through the Boulevard API, so the booking system stays the single source of truth and the front desk keeps working in the tool they know.
Messages are built from the booking details and written to a tone guide, so reminders and follow-ups read like they came from the clinic.
Yes. Lead replies, waitlist offers and reminders all show in one dashboard, so staff can see what went out and pick up anything that needs a person.
