One ledger for the whole restaurant week

A restaurant group ran orders, bookings, stock and payroll in four tools that never agreed. We connected them to one ledger, with a floor view for staff and a weekly summary for the owner.

We connected the tools instead of replacing them.

Staff kept the POS and booking tools they knew. Every system now writes to one ledger, so the week reconciles as it happens.

The result

One ledger instead of
four separate tools.

  • One

    Ledger for the whole week

  • Live

    Covers and stock

  • Minutes

    Weekly close

  • Same POS

    No change for staff

Payments reconcile as they happen

The problem

Every Monday, the owner rebuilt last week by hand.

Orders, bookings, stock and payroll each lived in a different tool, and none of them reconciled. To see how the week actually went, the owner exported from each one and pieced the numbers together manually.

  • Four tools, four numbers

Bookings, orders, stock and payroll never agreed on the same figure.

  • A manual weekly close

The owner rebuilt the picture by hand every Monday morning.

  • No view during service

Staff could not see covers, stock and staffing in one place while the floor was busy.

  • Service cannot stop

Whatever we built had to keep working mid-service, even if the internet dropped.

Hospitality operations

Bookings, staffing, stock and reporting behind one screen.

An operations layer reads from each tool the group already used and writes to one ledger. Staff get a floor view on a tablet during service. The owner gets the week’s numbers on a phone without exporting anything.

How it works

Engineering decisions

Changing the POS would have meant retraining staff and risking service. The operations layer connects through the Toast API and sits on top, so the floor works exactly as before.

Each site keeps its own floor view, and the group view rolls them up for the owner.

The floor view keeps working from local state and reconciles with the ledger once the connection returns, so service never waits on the network.
